Who We Are
Retroclassic Restoration Ltd is responsible for the personal information described in this policy. It covers our website, online shop, client portal, enquiries and vehicle-related services.
You can contact us at sales@retroclassicrestoration.co.uk, on 01452 690890, or by writing to Retroclassic Restoration Ltd, Unit 1 Hay Lane Farm, Hay Lane, Stroud, Gloucestershire, GL6 0QD, United Kingdom.
Information We Collect
Depending on your dealings with us, we collect:
- Your name, contact details, billing and delivery addresses, and correspondence.
- Order, payment-confirmation, invoice, refund and delivery information.
- Account identifiers, sign-in and security information, and communication preferences.
- Vehicle registration and chassis details, work instructions, estimates, approvals, service history, photographs and documents associated with your vehicle or project.
- Website and portal usage information, such as IP address, browser and device details, and security or activity logs.
We receive information from you directly and, where relevant, from marketplaces through which you order, payment and delivery providers, and people authorised to act for you. Payment providers process card details; the information made available to us depends on the payment service used.
If information is needed to fulfil an order, arrange work or meet a legal requirement, we will explain this when requesting it. Without that information, we may be unable to provide the relevant service.
How and Why We Use Information
- Orders and services: to prepare requested estimates, manage orders and vehicle work, obtain approvals, process payments and refunds, arrange delivery and provide support. We rely on performing our contract with you or taking steps you request before a contract.
- Business records: to meet tax, accounting and other legal obligations.
- Security and administration: to protect accounts, investigate suspected misuse, manage complaints, maintain reliable systems and establish or defend legal claims. We rely on our legitimate interests in operating and protecting the business, balanced against your rights.
- Marketing: where you consent, or where the law otherwise permits it. You can unsubscribe from marketing emails or contact us to change your preferences. Essential order and service messages are separate from marketing.
We do not treat simply browsing the website as consent to all uses of your information.
Who We Share Information With
We share relevant information with providers supporting our online shop, workshop records, accounting, hosting, communications, automation, payments and delivery. Depending on the service, these include Shopify, Airtable, Xero, Make, Google-hosted services, payment providers, and delivery or fulfilment partners such as DPD, Evri and Whistl.
We also share information with professional advisers, insurers, regulators or authorities where necessary and lawful. We limit sharing to what is relevant for the purpose. Some organisations, including payment providers and marketplaces, also use information under their own privacy notices.
Information within the client portal is used to manage your account and vehicle project. Publishing identifiable customer or vehicle material for promotional purposes is a separate use and must have an appropriate lawful basis.
Shopify Services
Our online store is hosted by Shopify. Shopify processes information about your visits and purchases, including to provide enhanced services based on your interactions with our store, other merchants and Shopify. This can include analytics, personalization and advertising, subject to your consent where required. Shopify and its service providers may process this information in other countries.
For details, see Shopify’s Consumer Privacy Policy. You can manage rights and choices relating to Shopify’s processing through the Shopify Privacy Portal.
Cookies and Similar Technologies
Our website uses cookies and similar technologies for functions such as the basket, sign-in, security and remembering choices. Other technologies may support website measurement or advertising.
Where consent is required, optional technologies are used only with your consent. Some limited uses may qualify for a legal exception, subject to its conditions, including information and opt-out requirements where applicable. You can change available choices through Cookie Preferences. Browser settings can also block or delete cookies, although this may affect essential features.
How Long We Keep Information
We retain information only for as long as it is needed for the purpose for which it was collected, taking account of:
- Tax and accounting requirements for orders, invoices and payments.
- The life of the customer relationship and the need to document vehicle work, approvals, warranties and later queries.
- Applicable claim periods, complaints and legal obligations.
- The limited period needed to investigate security incidents or maintain reliable systems.
Marketing preferences are retained until changed or no longer needed. We may keep a minimal suppression record so that an unsubscribe request continues to be respected. Information is then deleted, anonymised or retained only where a continuing lawful reason applies. You can ask us for more detail about a particular record.
Information Processed Outside the UK
Some providers may process information outside the UK. Where UK transfer rules apply, we use a permitted transfer arrangement, such as UK adequacy regulations or appropriate contractual safeguards, together with additional measures where required. Contact us for information about the arrangements relevant to your data and how to obtain details of the safeguards.
Keeping Information Secure
We use appropriate technical and organisational measures to protect information, including access controls and restrictions on who can use customer records. No system can guarantee absolute security. Please avoid sending full payment-card details or unnecessary sensitive information by email.
Your Rights
Depending on the circumstances, you can request access to your information, correction, deletion, restriction of its use, or a portable copy. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing.
You can object to direct marketing at any time. You can also object to processing based on legitimate interests, subject to the conditions and exceptions in data protection law.
To make a request about your personal information, contact sales@retroclassicrestoration.co.uk.
Questions and Complaints
Please contact us if you have concerns about how your information is used. You may also complain directly to the Information Commissioner's Office at ico.org.uk/make-a-complaint; you do not need our permission to do so.
Changes to This Policy
We may update this policy when our services, practices or legal requirements change. We will show the updated date and provide further notice where required.
